Table of contents
1. What information do we collect?
Personal information you provide to us
In short: we collect the personal information you give us.
We collect personal information that you voluntarily provide when you register, build your profile, use the Services, or contact us. This may include:
- Your name and email address.
- A password, which we store only as a secure hash.
- Career profile and document content - work history, education, skills, and the resumes and cover letters you create, import, or edit.
- Job postings you paste, or the content of job-posting URLs you ask us to fetch.
- An optional phone number, if you choose to add one to a document.
Sensitive information. We do not ask for special-category data (such as racial or ethnic origin, health, or trade-union membership). If you choose to include such details in your own resume content, that information is yours to control and is processed only to produce your documents.
Payment data. If you subscribe, payments are processed by our payment processor, Stripe. We do not collect or store your full card number; we keep only your subscription status and billing identifiers. You can review Stripe's privacy notice.
Information automatically collected
In short: limited technical data is collected automatically to keep the Services secure and working.
Like most online services, our servers automatically record basic log and device data - such as your IP address, browser and device type, and the dates and times of requests. We use this only to operate, secure, and debug the Services. We do not use it for advertising, and we do not build marketing profiles from it.
2. How do we process your information?
In short: to provide and improve the Services, communicate with you, keep the Services secure, and comply with law.
- To create and manage your account and keep you signed in.
- To deliver the Services: building, importing, tailoring, and exporting your resumes and cover letters.
- To manage your subscription and respond to your support requests.
- To keep the Services secure and prevent abuse.
- To understand how the Services are used so we can improve them.
We do not sell your personal information.
3. What legal bases do we rely on?
In short: we process your information only when we have a valid legal reason to do so.
If you are in the EU or UK, the GDPR and UK GDPR require a legal basis. We rely on: your consent (which you can withdraw at any time); performance of a contract (to provide the Services you request); our legitimate interests (to operate, secure, and improve the Services in ways that do not override your rights); and legal obligations.
If you are in Canada, we process your information with your express or implied consent, which you can withdraw at any time, and in the limited cases otherwise permitted by law.
4. When and with whom do we share your information?
In short: we share information only with the service providers needed to run the Services, and in a few specific situations described below.
We share personal information with third-party service providers only as needed to operate, and under contracts that require them to protect it and use it only on our instructions. The categories of providers are:
- A third-party AI provider, to generate and tailor your documents.
- A payment processor (Stripe), to handle subscriptions.
- Hosting and database providers, to run the Services.
We may also share information in these situations:
- Business transfers. In connection with a merger, sale, financing, or acquisition of all or part of our business.
- Legal requirements. Where required by law or to protect our rights, safety, or the rights and safety of others.
5. Do we use cookies and tracking technologies?
In short: we use only the storage needed to keep you signed in and to remember your display settings. We do not use advertising or analytics trackers.
We use a single secure, HTTP-only session cookie to keep you signed in. We also use your browser's local storage to remember your display preferences (such as theme and any custom colors). This storage stays on your device.
We do not use advertising cookies, analytics cookies, web beacons or pixels, social-media plugins, or other cross-site tracking technologies, and we do not allow third parties to track you on our Services. Because we do not use such trackers, there is nothing to opt out of for purposes of "sale" or "sharing"/targeted advertising under US state laws.
6. Do we offer AI-based products?
In short: yes - the Services use AI to generate and tailor your documents, and your content is handled only to produce your results.
Our Services include features powered by artificial intelligence. These are used for resume and cover-letter generation, parsing imported resumes, analyzing a target job posting, and tailoring your existing information to it.
To create, optimize, and tailor your documents, the relevant text you provide - such as your career profile and a target job posting - is sent to a third-party AI provider that returns the generated result. We do not use your content to train AI models, and we instruct our AI provider to process your content only to produce your results. We choose providers that do not train their models on submitted content by default. This data is transmitted over encrypted connections and is never used for advertising. The AI rewords and reorders your own information; it does not invent facts, and it does not retain your content for its own purposes.
7. How long do we keep your information?
In short: we keep your information only as long as needed to provide the Services or as required by law.
We keep your personal information for as long as your account is active. When you delete your account, your data is permanently removed from our active systems immediately. We may retain limited records where required for legal, tax, or security purposes, and any residual copies in secure backups are isolated from further use until they are overwritten.
8. How do we keep your information safe?
In short: we use organizational and technical measures to protect your information.
We use industry-standard measures including encrypted connections, hashed passwords, and access controls, and each account's data is isolated from other accounts. However, no method of transmission or storage is perfectly secure, so we cannot guarantee absolute security. You access the Services at your own risk and should use a secure environment.
9. Do we collect information from minors?
In short: we do not knowingly collect data from or market to children under 18.
The Services are not intended for anyone under 18, and we do not knowingly collect their data. By using the Services, you represent that you are at least 18, or that you are the parent or guardian of a minor and consent to their use. If we learn we have collected data from someone under 18, we will deactivate the account and delete the data. If you believe we may have such data, contact us at help@resumeharbor.pro.
10. What are your privacy rights?
In short: depending on where you live, you may have rights to access, correct, delete, and export your personal information.
In some regions (such as the EEA, UK, Switzerland, and Canada) you have rights under data protection law, which may include the right to access, correct, delete, restrict, or port your personal information, to object to certain processing, and not to be subject to solely automated decision-making with legal or similarly significant effects. You can exercise many of these rights directly from your account page, or by contacting us using the details in how can you contact us.
Withdrawing your consent. Where we rely on your consent, you can withdraw it at any time by contacting us or by deleting your account. This will not affect the lawfulness of processing before the withdrawal.
Account information. You can review or change your information at any time by signing in and editing your profile, and you can permanently delete your account and all associated data from your account page.
If you are in the EEA or UK and believe we are unlawfully processing your information, you may complain to your Member State data protection authority or the UK data protection authority. In Switzerland, you may contact the Federal Data Protection and Information Commissioner.
11. Controls for do-not-track features
Most browsers and some operating systems offer a Do-Not-Track ("DNT") setting. No uniform standard for recognizing DNT signals has been finalized, so we do not currently respond to them. Because we do not track you across sites in the first place, enabling DNT does not change what we collect.
12. Do United States residents have specific privacy rights?
In short: residents of certain US states (including California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, and Virginia) may have rights to access, correct, delete, and obtain a copy of their personal information.

To exercise these rights, use your account page, submit a data subject access request, or contact us. We will verify your identity before acting and respond as required by law.
